Overview

Smart Lead Lab ("we," "our," or "us") is committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered sales automation platform.

Customers remain responsible for determining whether the Service is appropriate for their industry and jurisdiction. Regulated or high-impact uses may require additional agreements, controls, or approval before onboarding.

Information We Collect

Account Information

  • Billing and payment information (processed securely by Stripe; billing details may be collected to start a trial and you may not be charged until the trial ends, if applicable)

AI Receptionist and Communications

When a customer enables calling, SMS, or AI receptionist features, we process communication data to place or receive communications, generate responses, route calls, schedule appointments, maintain security, and troubleshoot service failures.

Communication Data We Process

  • Caller and recipient phone numbers, message content, and call or message metadata
  • Interaction history, AI prompts and responses, intent, outcome, transfer, and appointment details
  • Call recordings and transcripts when recording or transcription is enabled
  • Consent, opt-out, do-not-call, delivery, error, and compliance records

Service Providers and International Processing

We use service providers that may include Twilio for telephony and messaging, OpenAI for AI response generation, ElevenLabs for voice generation, Google Firebase for application data and storage, Vercel for hosting and compute, and Sentry for error and diagnostic monitoring. These providers may process data in the United States or other countries where they operate, subject to contractual and legal safeguards.

Retention and Deletion

We retain communication data only as reasonably necessary to provide the service, maintain security and audit records, resolve disputes, and meet legal obligations. Retention can vary by data type, account configuration, and provider. You may request deletion through customer.service@smartleadlab.com. We will delete or de-identify eligible data and direct applicable providers to do the same, subject to legal holds, fraud prevention, backup cycles, and other lawful retention requirements.

Notice, Consent, and Customer Responsibilities

Our customers control their recipient lists, scripts, recording settings, and campaign instructions. Customers must provide required AI disclosures, establish a valid legal basis for each communication, obtain any consent required for automated calls, SMS, recording, or transcription, and honor opt-outs, do-not-call requests, quiet hours, and applicable messaging registration rules. Contact us if you believe a communication sent through Smart Lead Lab was unauthorized.

U.S. communication compliance records

Where customers use U.S. calling or messaging features, we may process campaign instructions, consent and opt-out records, do-not-call suppression data, caller-ID and delivery information, time-zone controls, and related audit records to provide the Service and support compliance controls. Customers remain responsible for supplying lawful data and instructions and for meeting obligations that apply to their campaigns.

AI and Third-Party Processing

To provide AI, voice, communications, calendar, payment, hosting, storage, and security features, we may send the information needed for the requested feature to our service providers. Depending on what you enable, this can include business profiles, product and service details, website or image scan inputs, prompts, content inputs and outputs, lead and contact information, call or message metadata, recordings and transcripts, appointment details, and technical diagnostics.

Providers may include AI, telephony, voice, payment, cloud, and monitoring providers identified in this policy, and may process data in the United States or other locations where they operate. Their processing is also subject to their own terms and privacy practices. We use these providers to operate, secure, troubleshoot, and improve the Service; we do not sell personal information for the purpose of permitting another company to market directly to you.

You must have a lawful basis to provide information to the Service and to request communications, recording, transcription, or AI processing. In particular, obtain any required notice and consent from callers, recipients, employees, and other individuals before submitting their data or contacting them. Our Terms of Service explain the limits of AI outputs and third-party service availability.

Google Calendar Integration

Smart Lead Lab allows you to connect your Google Calendar only when you choose to authorize it. With your authorization, we access the calendar information necessary to display availability, synchronize appointments, and create, update, or remove calendar events that you initiate through the Smart Lead Lab platform. This may include calendar identifiers, event titles and descriptions, start and end times, attendee details, availability, conferencing details, and the OAuth access and refresh tokens needed to maintain the connection.

We use this data solely to provide the requested calendar functionality, secure and troubleshoot the connection, and maintain the appointment records you create. We store encrypted or access-controlled connection credentials and the minimum event information needed in our application infrastructure. We do not sell Google user data, use it for advertising, or share it with third parties except our service providers acting on our behalf to operate and secure the Service, or where required by law. We do not expose a connected user's non-public calendar content to other users without that user's permission.

You can disconnect Google Calendar at any time from Calendar settings. Disconnecting revokes Smart Lead Lab's stored connection credentials and stops future Google Calendar API access; it does not automatically delete events already created in your Google Calendar. You may request deletion of eligible Smart Lead Lab calendar data by emailing customer.service@smartleadlab.com. Deletion is subject to lawful retention, fraud prevention, backup cycles, and records needed to resolve disputes.

We use reasonable administrative, technical, and organizational safeguards designed to protect Google user data from unauthorized access, use, loss, alteration, or disclosure. Smart Lead Lab's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Billing Data and Cancellation

Stripe processes subscription payments and provides us with billing status, invoice, payment method, and subscription-period information needed to administer your account. We do not store complete card numbers.

  • Monthly subscription charges are non-refundable once the billing period begins, and no prorated refund or credit is provided for a partial month, except where required by law or expressly stated otherwise.
  • If you cancel, the cancellation takes effect at the end of the current paid billing period. You may continue using subscribed services and remaining plan credits until that date, subject to applicable limits.
  • The subscription will not renew, you will not be charged for the next billing period, and subscription access ends when the current paid period expires.

No internet service can guarantee absolute security.
